How to Collect Passport Data From a Supplier Who Only Sends a Spec Sheet

You asked for Annex XIII data and got a one-page datasheet. Here is how to turn a spec sheet into passport data, and how to escalate when it is not enough.

You sent your supplier a structured request for the battery passport data. What came back was a one-page datasheet with a capacity, a voltage and a cell type. This is the most common outcome of a first request, and it is not a dead end. This guide covers what a spec sheet actually gives you, where the gaps are, and how to close them without a months-long email chain.

Why a spec sheet is not passport data

A spec sheet is a sales document. It exists to tell a buyer what the product does. The passport is a compliance record: it needs defined fields, and for several of them it needs the evidence behind the number, not just the number. See Annex XIII explained.

The two overlap more than people expect, but the spec sheet stops exactly where the regulatory detail starts. That is the gap you are closing.

What you can usually take straight from the sheet

A decent datasheet already carries a fair share of the public passport information:

  • Rated capacity, in ampere-hours.
  • Voltage, typically nominal, and sometimes minimum and maximum.
  • Cell chemistry, at least at the family level (for example lithium iron phosphate or a nickel-based chemistry).
  • Manufacturer and model identifiers, which anchor everything else.
  • Operating temperature ranges, often given for charge and discharge.
  • Cycle life, though frequently without the test conditions that make it meaningful.

Take these as a starting point, not as final values. Two details matter: whether the figure is for the cell or the finished pack you actually place on the market, and whether a cycle-life or lifetime claim states the test it came from. A cycle-life number with no reference test is marketing, and the passport asks for the test as well.

Where spec sheets almost always fall short

The fields that rarely appear on a datasheet are the ones that need documentation behind them:

  • Detailed composition, including the materials in the cathode, anode and electrolyte, and any substances of concern.
  • Dismantling and safety information, which the regulation describes in real detail: exploded views, disassembly sequence, the tools needed, the fastenings to release, warnings, and the cell layout.
  • Conformity evidence, meaning the test reports that show the battery meets the rules.
  • Round-trip energy efficiency, internal resistance, and the other performance and durability parameters.
  • Carbon footprint and recycled content, where a bare percentage is not enough because both need a defined calculation method behind them.

The escalation ladder

When the first answer is thin, work up in steps rather than repeating the same request:

  1. Send the field list, not the concept. "Please provide the EU battery passport data" invites a datasheet. A numbered list of the specific fields, grouped as Annex XIII groups them, gets a far better response because someone at the factory can tick it off.
  2. Ask for the documents, not the values. Test reports, the conformity documentation and the safety data usually already exist. Asking for the underlying report often gets you several fields at once, and gives you the evidence at the same time.
  3. Go past the assembler. Many pack assemblers do not hold cell-level data. If your supplier builds packs from cells it buys, the composition and chemistry detail sits with the cell maker. Ask your supplier to pass the request up, or ask which cell is used so you can ask directly.
  4. Put it in the purchase terms. The most effective step is also the least technical: make the data a condition of the order for the next production run. A supplier that will not commit contractually is telling you something useful.
  5. Treat persistent silence as a sourcing signal. A manufacturer that cannot describe what is in its own battery by 2027 is a compliance risk you are carrying, not a paperwork problem.

What is urgent and what is not

Not every gap needs closing this quarter, and knowing the order saves a lot of pressure. The passport itself applies from 18 February 2027, so the identity, composition, performance, safety and dismantling information is the work in front of you now.

The two headline environmental figures land later for light means of transport batteries. The carbon footprint declaration does not begin for LMT batteries before 18 August 2028, and recycled content documentation for LMT batteries starts from 18 August 2033. So if a supplier cannot yet give you a carbon footprint figure for an e-bike pack, that is expected rather than alarming. Missing chemistry or dismantling information is the more pressing gap.

Pulling fields out of a datasheet by hand is slow and easy to get wrong when you are doing it across a range of models. Then reuse the same list for every other model, and see what your supplier must send you for the request itself.
